Guide on how to share a case file / lightboxes with internal users
As of March 2024, we have renamed Lightbox to Case Files
There is a limit of 1000 videos or assets per case file
What is a case file / lightbox?
Case files (previously known as Lightboxes) allow you to create a collection of videos and assets that can be shared with other users
What does internal sharing mean?
Sharing internally means sharing a case file with another Halo Vault user. To share with a user who does not have their own Halo Vault login, please see Sharing a case file externally
To share a case file internally:
- Log in to your account via the Halo Vault login page:
- Europe/UK Login: app.halovault.cam
- US Login: app.halovault.us
- Navigate to the Case Files section from the sidebar menu. Here, you will be able to see a list of case files that have been created and organised into:
- An Internal tab: Displays the case files that the user has access to.
- A Shared Externally tab: Display the case files that the user has shared externally.
- A Shared with me tab: Displays the case files that have been shared with that user.
- Click into the case file to share internally. This will open a more detailed view of all videos and assets in the case file
- Click the Actions button in the top right corner
- Select Sharing Configuration. This will open a Sharing Configuration setting view.
- Navigate to the Internal Sharing tab
- Click the Edit button
- Type the name of the user to internally share your chosen case file. Vault may suggest results based on what you have typed
- Continue selecting the names as required. Selected names will appear in the Access Summary table
- Optional: Depending on your level of permissions, you can toggle on the Allow users to add/remove items if this is required
- Click the Save button to internally share the case file
